Please read these terms carefully before using our services. By booking a session or purchasing any service from Kyanite Solutions Ltd, you agree to these terms.

Contact: hello@kyanitesolutions.co.uk · Telephone: 07879 621450 (email is the quickest way to reach us)

2. Our Services

Kyanite Coaching provides coaching and support services. Our services are not a substitute for medical, psychological or psychiatric treatment. If you are experiencing a mental health crisis, please contact your GP or an emergency service immediately.

We reserve the right to refer clients to other professionals where we believe this is in the client's best interest.

Group sessions: Kyanite group sessions have their own short terms, which are shared with you when you book a place.

3. Booking & Payment

  • Sessions must be booked in advance through our booking system
  • Full payment is required at the time of booking unless otherwise agreed (packages can be paid in two halves — see Section 6)
  • Prices are as stated on our website or agreed in writing prior to booking
  • All prices are in GBP and inclusive of any applicable taxes

4. Your Right to Cancel (14-Day Cooling-Off Period)

As a consumer entering into a contract with us online, by phone, or otherwise at a distance, you have a legal right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 to cancel your contract with us within 14 days of booking, without giving a reason.

If you cancel within this period and no session has yet taken place, you will receive a full refund.

Starting sessions within the 14-day period: If you would like your sessions to begin before the 14-day period has ended, we will ask for your express agreement to this at the time of booking. By agreeing, you acknowledge that if you then cancel during the 14-day period after sessions have started, you may be charged for the sessions already provided, with the remainder refunded.

To cancel within the 14-day period, simply email us at hello@kyanitesolutions.co.uk stating that you wish to cancel. We will confirm your cancellation and process any refund due within 14 days.

This 14-day right is separate from, and in addition to, the session-by-session cancellation and rescheduling terms set out below, which apply once any cooling-off period has ended or been waived by agreement.

5. Cancellation & Rescheduling (Individual Sessions)

  • 24 hours' notice or more — you can move your session free of charge, or cancel it for a full refund of that session.
  • Less than 24 hours' notice — the first time, we will move your session free of charge. After that, the full session fee is due (for packages, the session counts as used).
  • No-shows — if you have not joined within 15 minutes of the start time and have not been in touch, the session counts as a no-show. The first time, there is no charge and we will help you rebook. After that, the full session fee is due (for packages, the session counts as used).

Illness and emergencies happen. Please let us know as soon as you can and we will always be fair.

Reminders and your phone number: we will send you a reminder email the day before your session. Please make sure the phone number you give us is correct — if the video call fails, we will ring you on it instead.

If we need to cancel or move a session: we will tell you as soon as possible and offer you priority on new times. If you have paid, you can choose either a full refund (within 5 working days) or to move your payment to a new session.

If we are running late: you will still receive your full session time, or we will move the session free of charge if you cannot stay.

6. Packages

These rules apply to packages of sessions (for example 4 or 8 sessions, or a Kyanite Executive package), alongside the cancellation rules in Section 5.

  • How long a package lasts — packages are valid for 3 months (4 sessions) or 6 months (8 sessions, and Kyanite Executive 6-session packages) from your first session. If illness or a significant life event means you need a break, you can pause your package once, for up to 3 months — just let us know.
  • Stopping early — you can stop at any time by emailing hello@kyanitesolutions.co.uk. Sessions you have already had are charged at the standard single-session price, and the rest is refunded within 14 days.
  • If we end the arrangement — for example, if another kind of support would suit you better — we will refund any unused sessions in full.
  • Sessions are personal to you — they cannot be transferred to anyone else, but you are welcome to move between Kyanite support areas within your package at no extra cost.
  • Late cancellations and no-shows — these follow Section 5: the first time is free, after that the session counts as used.
  • Paying for a package — packages are paid in full before your first session. 8-session and 6-session packages can instead be paid in two equal instalments, the second due before the halfway session, at no extra cost. Employer or Access to Work funded support is invoiced, payable within 30 days.

7. Payment Made Before a Discovery Call

Every Kyanite Coaching engagement begins with a free Discovery Call. If payment is received before this call has taken place — for example, via a payment link shared or forwarded by a third party — we will contact you promptly to arrange the call before any paid work begins. Following the call, if we agree to proceed, your package will be confirmed (and adjusted if needed to reflect what is genuinely appropriate for you). If either party determines the engagement is not the right fit, a full refund will be issued.

8. Confidentiality

We treat all client information with the strictest confidence. We will not disclose your personal information to any third party without your consent, except where required by law or where there is a risk of harm to yourself or others.

9. Client Responsibilities

To get the most from our services, clients are expected to:

  • Attend sessions punctually and prepared
  • Engage honestly and openly
  • Complete any agreed actions between sessions
  • Treat our team with respect

We reserve the right to terminate a working relationship if a client behaves in an abusive or inappropriate manner, with a refund of any unused sessions.

10. Intellectual Property

All materials, resources and content provided by Kyanite Coaching — including worksheets, frameworks and written materials — remain our intellectual property. They are for your personal use only and may not be shared, reproduced or sold without our written permission.

11. Limitation of Liability

Kyanite Coaching provides coaching and support services in good faith. We cannot guarantee specific outcomes as results depend on individual effort and circumstances. Our liability to you shall not exceed the total amount paid for services in the preceding three months.

We are not liable for any indirect, consequential or special losses arising from use of our services.

12. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

We may update these terms from time to time. Continued use of our services after changes constitutes acceptance of the new terms. We will notify existing clients of significant changes.
